Gartner Usage Policy

Username and Password

As a Licensed User, you will receive a unique username and password for your exclusive use within your business role and responsibilities. The username and password must be specific to you as the Licensed User, for example, your company or agency email address or your proper name, and may not reflect a department. These credentials may not be shared with anyone, either inside or outside your company or agency. For government clients, “company” may include agencies responsible for the oversight and administration of specific functions.

Your Gartner license may only be reassigned to another individual within your company under the following circumstances:

  • Your job responsibilities change substantially, and you no longer require access to the Gartner Product; or
  • You take work leave for 30 days or more, and the license is reassigned to you upon your return; or
  • You permanently leave your company; and
  • Reassignment is not done with the intent or effect of avoiding the purchase of additional user licenses.

Additional Requirements:

  • When substituting a Licensed User, the new Licensed User must be primarily located in the same country as the original Licensed User. If this is not possible, please consult your Gartner Account Representative to purchase an additional user license locally.
  • For Licensed Users based in the United States, your company acknowledges and agrees that those licenses are offered, sold, provided, and serviced solely by Gartner, Inc.

If your company assigns a license to a contractor or sub-contractor, all the following conditions must be met:

  • The contractor must be a full-time equivalent, meaning they have a company assigned email address and function for all intents and purposes as a full-time employee (as opposed to a temporary contractor for a discrete term);
  • Your company must contractually agree to pass on the Gartner Usage Policy to the contractor or sub-contractor and accept liability for any misuse or non-compliance with the Product;
  • The contractor must agree to use the Product solely for your company (i.e., the company that issued the license);
  • In no instance is it ever acceptable for a Licensed User to share their username and password with the contractor; and
  • Upon termination of the contractor's service term with your company, the user license must be reassigned to another individual within your company, in accordance with the Gartner Usage Policy.
Best Practices for Username and Password

Acceptable Use
Martha (Licensed User) is a newly designated Licensed User. Because usernames must be specific to the individual Licensed User, Martha’s company email address may be used for her username.

Unacceptable Use
John Smith (Licensed User) has recently been assigned a Gartner license and requests that his username reference his department name or use the department's generic email address. This is considered unacceptable use because usernames must be specific to the individual Licensed User, such as their company or agency email address, and may not reflect a department. An acceptable username in this scenario would be john.smith@client_company.com.

Acceptable Use
Judy (Licensed User), an IT manager at her company in the United States, leaves to accept employment elsewhere. At the client's request, Gartner reassigns the license to a new Licensed User also primarily located in the United States. This is considered acceptable use because Judy is leaving the company, and the license may be reassigned to a new Licensed User who is primarily located in the same country as the original Licensed User.

Dawn (Licensed User) leaves the IT department of her Canadian-based company to take another position within that company that does not require access to Gartner content. At the client's request, Gartner reassigns the Product to a new Licensed User who is also primarily located in Canada. This is considered acceptable use because Dawn’s job responsibilities have changed substantially such that she no longer requires access, and the Product may be reassigned to a new Licensed User who is primarily located in the same country as the original Licensed User.

Sally (Licensed User) is about to take three months of maternity leave and would like to reassign her license to John (Non-User) during her absence. This is considered acceptable use because Gartner permits the temporarily reassignment of a license when a Licensed User takes medical leave, provided that (i) the leave is longer than 30 consecutive days, (ii) the new Licensed User is primarily located in the same country as the original Licensed User, and (iii) the license is reassigned to the original Licensed User upon their return from leave.

Unacceptable Use
Frank (Licensed User) offers to help his colleague Sally (Non-User) on her work-related project by allowing her to log in to gartner.com using his username and password to access Gartner content. This is considered unacceptable use because usernames and passwords may not be shared with anyone, either inside or outside the client company. Sally would need her own Gartner license to access content on gartner.com; therefore, the client should contact their Gartner Account Representative to purchase an additional license for Sally.

George (Licensed User) is part of an IT team along with his colleagues Sally and Kate (each, a Non-User) and administers the Gartner access for his team. Although George's responsibilities have not changed substantially, he believes Sally would benefit more from accessing Gartner content. He reassigns his license to Sally for the duration of the project, and once the project is completed, Sally reassigns the license back to George.  George (Licensed User) then reassigns the license to Kate (Non-User) so she can access Gartner Content. This is considered unacceptable use because Gartner does not permit the systematic "recycling" of licenses. Instead, the client should contact their Gartner Account Representative to purchase additional user licenses.

Pat (Licensed User) has a broad range of responsibilities at her company and has confirmed that she benefits from Gartner access across all topic areas she covers. After next week, some of her responsibilities will shift to George (Non-User), and she has requested that her license be reassigned to him due to this change. However, Gartner requires validation of the change in responsibilities, confirming both old and new responsibilities to determine the continued need for access. This is considered unacceptable use because Pat confirmed she benefits from Gartner access for the areas that will remain with her, even after some responsibilities are transferred to George. Instead, the client should contact their Gartner Account Representative to purchase an additional user license for Pat.

REMINDER: This is a baseline license that may vary depending on your purchased product.
